Types of folders
Everything you store in McFile lives in a workspace, in folders inside it. Most folders are ones you make yourself. Some are kept by McFile for your records, and a few things in the tree look like folders but aren't. A small badge on the folder's icon tells them apart.
Workspaces
A workspace is the top level: a team's or a department's space, with its own members. What you can do in a workspace depends on your role there: viewers read, members add and change, admins also manage the workspace and its folders. Open a workspace from Documents in the menu.
Folders you make
A plain folder, with no badge. Create one with the + button in Documents, or with New folder in a folder's ⋮ menu. You can rename, move, archive and delete it like any document.
Folders McFile keeps for your records
Customers, projects, vendors, invoices and your other records get their folders from McFile, so everything about a record is in one place.
Kind's home folder
Where new records of one record kind are filed: one folder for Customers, one for Projects, one for Purchase invoices… An admin chooses it under Admin ▸ Record kinds.
Record's own folder
The one folder of a single customer, project or vendor, inside its kind's home folder. McFile creates it with the record. When you archive the record and choose “with its contents”, the folder is archived with it. Only a workspace admin renames or moves it.
Folders an App created
When an App is installed (for example Quality or Legal), it creates its top-level folders in your workspace, with the App's icon. They stay where the App put them: you can work inside them, but you can't move them.
Shortcuts
Link
A shortcut to a document that lives in another folder. It shows the document where you need it, without a copy. Who may open it is decided by the original document.
Private folders
A small lock after a folder's name means the folder is private: only the people given access to it can see it, even inside the workspace.
Things that look like folders
Drafts is your own private place, not a folder in a workspace. Files you upload land there until you file them into a folder, give them a type or share them; nobody else sees your Drafts. Select several drafts (Ctrl or ⌘ + click, or a long press on a phone) to file or delete them together.
Groups appear when you use Group by in the Documents toolbar: by date, by document type or by a related record. They are a way of looking at the documents, not folders: nothing is moved, and choosing another grouping, or none, shows the same documents again.
Archived items and Trash are kept out of the tree. Open them with View archived or View trash in the workspace's ⋮ menu to bring something back.
